Once a property has been listed, it must be converted from Appraisal or Prospect/Not Currently Listed status to Listing status. During the listing process, you will need to complete a few sections to list the property successfully.

Step by step
1. Navigate to the property card
2. Select the Status drop-down > Select Listing (This action will not publish the listing.)
3. Do not tick visibility on websites until all property details, photos, and open homes have been added, as ticking the portals and saving the property will send the property live
4. Check that the address details are correct under Location and make changes if required
5. Check that the particulars are correct and make changes if required. You also have the option to add in any further Legal Details
For all Victorian listed properties, you must ensure that you drag and drop or upload your Statement of Information in the below section so it can appear on portals (websites) for compliance requirements.
6. Add any contract details, including the Authority dates, Agreed Marketing Spend (VPA), and Agreed Selling Fee. You also have the option to add any of the property Rates (Water, Council, and/or Strata)

7. Add the Method/Pricing for the listing. This includes the following:
- Method of Sale: - Private Treaty, Auction, Tender, or Set Sale Date - If you select Auction, Tender, or Set Sale Date, further options will be available in the Method/Pricing section. We also allow you to select whether the listing is Exclusive, Multilist, Open, or Conjunctional listing (This is for reporting purposes)
- Agent Price Opinion: - Agents opinion for internal reference and reporting
- *Price: - This will determine how the listing populates in searches and the displayed price (Note: This is a mandatory field)
- Hide Price / POA: - Removes the above price from displaying on the listing
- Price freeform text: - Overrides the price displayed on the listing and replaces it with the text added in this section

8. Add the Heading and Description for the advertisement of the listing
We provide the option to generate a property description using OpenAI. By clicking on Generate Description, OpenAI will use the below property fields to generate a property description:
- for sale / for lease
- address
- class (residential/rural etc.)
- bed
- bath
- type, e.g. House
- year built
- garages
- carports
- open parking spaces
- land area
- building area
- display price
- ensuites
- toilets
- house & land package yes/no
- newly constructed yes/no
- Any ticked or populated features in the features tab
As mentioned, we do not own the content displayed in the generated description, which was created using OpenAI. You are responsible for respecting any rights of others that may be contained in the Description, including potential copyright.
9. If you have any External Links, such as a Property Web Site, Virtual Tour, Video or 3D Floorplan, you have the option to add them as per below:
10. Set the Contact/Enquiry staff member(s) on the listing. You have the option to add up to two users
11. Once you have completed all of the above, click Save/Update to convert the property to a Listing. This will then ensure the property has been converted to a listing. However, it has yet to be published on any portals (websites)
12. Before sending the property live, you must ensure that you upload all property photos and set the floorplan via the Photos tab, as well as add any upcoming Open Inspections via the Open Homes tab
13. Once completed, navigate to the General tab and tick the portals (websites) on which you would like to list the property
14. Once ticked, click on Save/Update in order to publish the listing
You can learn more about withdrawing a listing if the owner decides to withdraw it in the future.
Additional information
If you have set up the integration for NPD (National Property Data), Corelogic or Pricefinder, the property search will allow you to pull property data directly into the property card. This data includes the property type, address, particulars, and other relevant information.
This integration can be set up for individual users under My Integrations > Corelogic, National Property Data or PriceFinder.
We provide the option of how you would like the property address to display when published. This can be found under Location, where you can choose to Show Full Address, Show Suburb Only, or Show Street and Suburb.
If you select Show Street and Suburb, this will only apply to any Internal marketing sent via VaultRE, not the way the listing displays online.
The "Internal Marketing" tickbox under the Visibility section enables the listing to be included in all VaultRE marketing. If you are listing an "Off Market" property and do not want it to be marketed, you will need to ensure that you leave this unticked.
If the property you are selling is tenanted, you can expand the Tenancy Details to add any tenancy information. This will record it against the property so you can easily access this information from the property card and the VaultRE app.
If you would like the publishing description for your brochures to be different or if you would like to shorten the text, you can add the desired descriptions by expanding the Brochure/Window Card Text and/or Mobile Marketing Description.
It is important that you add the Property Web Site link from within the External Links section to direct potential buyers to your office website when sending out any eMarketing from VaultRE.
The Contact/Enquiry: Staff Member(s) are the users attached to the listing. These users will not only appear on the listing for portals (websites) but also receive all online enquiries for the property.
