About the listing process
Converting a property from Appraisal or Prospect/Not Currently Listed to Listing makes it ready for marketing and publishing. The process includes confirming property details, compliance items, pricing, and contacts before you publish to portals.
Before you start
Ensure you have the information that will be required during listing:
- Correct address and particulars (and any legal details if applicable)
- Statement of Information (VIC only) for compliance
- Contract details (Authority dates, VPA/Agreed Marketing Spend, Selling Fee, optional Rates)
- Method & Pricing choices (and dates if Auction/Tender/Set Sale Date)
- Photos, floorplan, open inspection dates
- External links (video, virtual tour, 3D floorplan, property website)
- Contact/Enquiry staff who will receive enquiries
Convert an appraisal/prospect to a listing
To create the Listing in MRI Vault:
- Go to: The property profile
- Select Status > Listing
- Do not tick Visibility on websites until all details, photos, and open homes are added; otherwise, the property will go live prematurely
- Check the address and update if required
- Confirm particulars and legal details are correct. Add Legal Details if applicable
- Add contract details - Enter Authority dates, Agreed Marketing Spend (VPA), and Agreed Selling Fee. Â Optionally add Rates (Water, Council, Strata)
- Choose Method of Sale (Private Treaty, Auction, Tender, or Set Sale Date). If you select Auction, Tender, or Set Sale Date, complete the additional fields that appear
- Listing type (for reporting): Exclusive, Multilist, Open, or Conjunctional
- Agent Price Opinion - Internal reference only
- Price (mandatory) - Drives search population and displayed price
- Hide Price/POA - Suppress price on the listing

Price freeform text - Replace displayed price with custom text

Tenancy Details (if selling a tenanted property) - Expand Tenancy Details to record tenancy information. This is saved on the property card and accessible in the Vault app
- Add advertising content - Enter a compelling Heading and Description for the listing
- You can click Generate Description with AI to use OpenAI based on fields such as:
- For sale/lease
- Address
- Class
- Beds
- Baths
- Type
- Year built
- Garages/carports/open parking
- Land/building areas
- Display price
- Ensuites
- Toilets
- House & land package
- Newly constructed
- And any ticked features

Add external links (optional) - Include Property Website, Virtual Tour, Video, or 3D Floorplan URLs
Note: If you want to upload a video, it must first be uploaded to a third-party platform such as YouTube or Vimeo. Once uploaded, copy the public video URL and add it to the property card under the General tab in the External Links > Video section. - Set Contact/Enquiry staff - Select up to two users who will appear on the listing and receive online enquiries
- Click Save/Update. The property is now a Listing but is not live on portals
Prepare to publish
Complete marketing assets and open homes before you go live:
- Go to: The Photos tab to upload images and set the floorplan
- Use the Open Homes tab to add upcoming inspection times
- Go to the General tab and tick the portals/websites (Visibility) you want to publish to
- Click Save/Update to send the listing live to the selected portals

Control how the address displays
Choose how the address appears when published (in Location):
- Show Full Address
- Show Suburb Only
- Show Street and Suburb
Internal marketing
The Internal Marketing checkbox (in Visibility) includes the listing in MRI Vault marketing
- For Off Market properties, leave this unticked to prevent marketing.
Alternate brochure/mobile descriptions
If you want different or shorter text for brochures or mobile marketing, expand Brochure/Window Card Text and Mobile Marketing Description and add tailored copy.
