Learn to convert a leased property into a management or listing and prepare it for publication.

Convert a leased property
- Go to: The property card
- Click the Status drop-down
- Select Management/Listing (This action will not publish the listing)
- Click Save/Update to update the property as an available management
Note: Under Visibility, do not tick any websites until all property details, photos, and open homes have been added, as ticking the portals and saving the property will publish it.

Location - Check that the address details are correct and make changes if required

Particulars - Check that the particulars are correct and make changes if required

Legal Details - This section allows you to record official property identifiers used in legal documents and land registries. Include any of these details if they are available

Contract Details - Include any contract details, such as the authority dates, expenditure limit, and available date
- Financials - Enter the financials for the listing:
- Rent (mandatory) - This determines search results and the displayed price
- Hide Rent / POA - Hides the price from the listing
- Price freeform text - Overrides the displayed price with custom text

Bond - Auto-calculated as 4x the rent, but can be manually adjusted

Publishing - Add the heading and description for the advertisement of the listing

External Links - Include any external links, such as a property website, virtual tour, video or 3D Floorplan
Note: External Links connect to other areas within MRI Vault, and some links are sent to advertising portals. For this reason, External Links must align with what each portal is able to process. The names of existing External Links cannot be changed, and new External Links cannot be added on a per‑account basis.Note: If you want to upload a video, it must first be uploaded to a third-party platform such as YouTube or Vimeo. Once uploaded, copy the public video URL and add it to the property card under the General tab in the External Links > Video section. - Specific Data - This section enables you to capture additional listing-specific details that may be relevant for integrations, marketing, or internal tracking purposes:
- Realtair MakeanOffer - You can enter the link or reference for Realtair’s Make an Offer feature, enabling potential buyers to submit offers directly
- Listing Agent - Select the primary agent responsible for the listing. This ensures the correct agent is displayed on portals and receives enquiries
- Builder - Select the builder associated with the property, if applicable. Useful for new developments or builder-specific marketing

SignBoard Removed - A Yes/No toggle to indicate whether the physical signboard has been removed from the property

Internal References - This section allows you to store internal tracking information related to the property
- Additional Rates:
- Apartment Info - Record relevant information about the apartment, such as the date of registration or strata setup

Sinking Fund Amount - Record the amount allocated to the sinking fund

BDM - Assign a BDM to the property

Property Access - Select who can view and edit access
- Once you have completed all of the above, click Save/Update
- Publish the listing - Return to the Visibility section and tick the desired listing portals
- Click on Save/Update to publish the listing
Withdraw a management
If the landlord or owner decides to withdraw the management:
- Go to: The management/listing property profile
- Click Management Lost
- Enter the reason for the withdrawal
- Click on Yes/Continue to revert the property to Not Currently Listed
Integration tips
If you've set up the integration for NPD (National Property Data), Cotality, or Pricefinder, you can pull property data directly into the property card. This includes:
- Property type
- Address
- Particulars
- Other relevant information
These integrations can be set up for individual users under My Integrations.
Display and marketing options
You have the choice of how you want the property address to appear when published.

Address Display Options (under Location):
- Show Full Address
- Show Suburb Only
- Show Street and Suburb

Internal Marketing
- Tick the Internal Marketing box under Visibility to include the listing in MRI Vault marketing
- Leave unticked for off market properties

Brochure and mobile descriptions
- Use Brochure/Window Card Text and Mobile Marketing Description to customise or shorten published descriptions
- Property Website Link - Add this in External Links to direct buyers to your office website in MRI Vault eMarketing
- Contact/Enquiry Staff Members - These users appear on the listing and receive all online enquiries. They will not appear on the listing for portals (websites).
