About the Xero integration
The Xero integration is available to MRI Vault subscribers in Australia and New Zealand. It lets you automatically generate sales invoices, apply credit notes for reversed sales, update payslips with commission line items, and push advertising invoices to Xero (with optional payment sync back to MRI Vault).
Data flow at a glance
- Chart of Accounts in Xero is matched to fees and sales items MRI in Vault
- Tracking Categories in Xero are assigned to MRI Vault staff and sales line items
- MRI Vault Users are mapped to Xero Employees
- Property sales transactions trigger the creation of Sales Invoices in Xero
- Fallen, cancelled, or reversed sales result in Credit Notes in Xero
- Property sales transactions update Payslips in Xero Payroll

Advertising/marketing invoices are sent from MRI Vault to Xero, with optional payment updates from Xero back to MRI Vault
Before you begin
- Ensure your user account has Xero Integration access in User Management Settings
- Confirm you can log in to Xero and have the necessary permissions to authorise the connection
Connect MRI Vault to Xero
- Go to: Office Integrations > Xero
- Select Connect to Xero
- When redirected to Xero, sign in and grant access to MRI Vault (authorise prompts)
- After authorisation, the integration shows as Connected. You can disconnect at any time
Set up Xero integration options
Once connected, configure how MRI Vault should create and send transactions:
Automation

Automation - When enabled, MRI Vault automatically processes sale transactions in the Pending Queue every ~5 minutes
- If disabled, you can manually process items in the Pending Queue

Who to set as the invoice contact

“Contact” for Invoice - Choose Property address or Vendor name as the Xero contact on the invoice
What to include on the invoice
- Advertising Recoverable - Invoices advertising expenses added to the property
- Pre-Distribution Deductions Recoverable - Includes pre-distribution deductions from the sales details
- Conjunctional Commission Fee - Adds a line for conjunctional office/agent (from sales splits)
- Salesperson Share Accrual - Creates a salesperson share accrual in Xero (requires Chart of Accounts mapping)

How to show commission line items
Choose one of the Commission Line Items options:
- Agent Gross Splits
- One line per salesperson split (excl. conjunctional)
- Amount = Gross for that split
- Total invoice = total revenue into the business.
- Agency/Salesperson Shares
- Two lines - Agency share and Salesperson share
- Salesperson share = sum of Net amounts in Agent Allocation (excl. conjunctional)
- Agency share = remainder of gross commission
- Agency Share/Salesperson Line Items (per split)
- For each agent split, create one Agency share line and one Salesperson share line
Map your data to Xero
- Select Match Staff to map MRI Vault staff to Xero Employees
- Select Match Chart of Accounts to map MRI Vault actions/fees to Xero accounts
- Select Match Tracking Categories to assign Xero Tracking Categories to Vault staff and sales lines
Configure payroll settings
- Select Payroll in the integration settings
- Choose the Earnings Rate for commission

Tick the MRI Vault staff who should receive payslip updates (must have active payroll in Xero)
