Add a new key
Easily record and organise key details for any property type.
To add a new key:
- Go to: A property profile > Keys tab
- Click Add New Key (bottom right)
- Fill in the key details:
- Status - Whether the key is in or out of the office
- Key ID - Unique identifier for the key
- Colour - Optional colour coding (visible in mobile app and calendar)

Details - Add notes. For example, Front Door Key
- Click Save
Check a key in or out
Track key movement and assign responsibility.
To check a key in or out:
- Go to: A property card > Keys tab
- Click Check Out / Edit next to the key
- Toggle the key status (In/Out)
- If checking out, select who took the key (contact, supplier, or staff)
- Click Save
All check-in/out actions are logged with date and time.
Key IDs are automatically cleared when a property is settled or marked as management lost, and a note is added under Key Tracking.
Add key tracking notes
Record extra information about a specific key.
To add a tracking note:
- Go to: A property Card > Keys tab
- Click Add Key Tracking Note (bottom right)
- Enter a note and select the Key ID
- Click Save

Monitor key activity from your dashboard.
Use the following widgets to track key movement:
- Keys Checked Out (Office)
- Key Track - Office
Generate a key report
Create reports for key activities across properties using the report writer.
Choose one of the following:
- Property Keys (Sale)
- Property Keys (Lease)
View key details in the mobile app
Access and update key info on the go.
To view key details:
- Open the Vault mobile app
- Go to: A property profile > Tap Keys & Alarm Details
- View or update key status, details, or add new keys
