Manage duplicate properties

Learn how to identify and resolve duplicate properties in MRI Vault using the Duplicate Check feature.

Before you begin

Properties can only be merged if:

  • They have the same classification (e.g., Residential, Commercial)
  • Their status is Appraisal or Prospect/Not Currently Listed
Note: Current listings cannot be merged until they are settled or withdrawn.

Run a bulk duplicate check

Duplicate check helps you keep your property database accurate by identifying potential duplicates. You can review these duplicates and decide whether to merge, ignore, or delete them.

  • Go to Properties > Duplicate Check
  • The system displays all potential duplicate properties

Note: The property addresses must match on both records, including the suburb and postcode. If the addresses do not align, the records will not be identified as duplicates.
  • Click Resolve next to the property you want to review
  • A new screen opens where you can:
    • View property details
    • Check the activity log

  • After reviewing, choose one of the following actions:
    • Merge - Combine duplicate records
    • Ignore - Exclude the duplicate for now
    • Delete - Remove the duplicate property
  • Click Merge Now to confirm your changes

Merge from a property card

You can also merge duplicates directly from a property card:

  • Go to: The property card
  • Select Options > Duplicate Check

  • Click Resolve next to the property you want to review
  • A new screen opens where you can:
    • View property details
    • Check the activity log

  • After reviewing, choose one of the following actions:
    • Merge - Combine duplicate records
    • Ignore - Exclude the duplicate for now
    • Delete - Remove the duplicate property
  • Click Merge Now to confirm your changes

View recently merged or ignored properties

  • Go to: Properties > Duplicate Check
  • Click Recently Merged - View merged properties from the last 30 days in the Recently Merged tab
  • Click View Ignored Duplicates - View or unignore duplicates in the View Ignore List tab

Note: Ignored duplicates remain on the ignore list for 60 days by default. To ignore duplicates indefinitely, go to Settings > Update Account Details and enable the option.
