Learn how to clean and manage your MRI Vault data using the housekeeping menu, including tools for backups, data cleanup, and reassignment.
Housekeeping menu overview
To access the menu:
- Go to: Housekeeping in the left-hand menu
Below is a breakdown of each menu:
- Backup/Export Data
- Clean Advertising Suppliers
- Clean Building Names

Backup/Export Data
Export selected Vault data to CSV format; recent exports are logged and emailed as compressed (zip) files.
The 10 most recent backups/exports will also be recorded
Clean Advertising Suppliers
Rename or remove advertising suppliers set up in the financial configuration.
You can rename or remove/reassign a supplier on the right-hand side of an existing supplier.
Clean Building Names
Delete unused building names from property cards.
You can remove the building name on the right side of the entry.
Clean Email Communications
Delete custom email templates from the Email Builder.
Franchise offices using Head Office–created templates might not have permission to delete those templates.
- Click Remove on the right
A pop-up will appear to confirm that you no longer want the communication
- Click Remove to delete the communication
Clean Email Data
Validate and clean contact email addresses; recommended after importing data from another CRM to ensure accuracy.
- Click Test Clean
- Review the results > Click Proceed - Clean Now
Clean Mobile Data
Fix formatting issues in mobile numbers, especially restoring missing leading zeros from imported data.
If you've imported a CSV file, your mobile numbers might have lost the leading zero (0). If that happens, this script will restore the 0.
- Click Test Clean
- Review the results > Click Proceed - Clean Now
Clean Offer Conditions
Remove or reassign offer conditions from property financials.
- Click Remove to remove an existing offer condition
- In the pop-up, click Remove
You can add further offer conditions:
- Click Add Offer Condition in the bottom right-hand corner
- Enter a name
- Click Save
Clean Property Tags
Rename or delete property tags; deletion includes an option to reassign to another tag.
- Click the pencil to edit the name of an existing tag
- Click Remove to delete an existing property tag
- In the pop-up, click Remove
Clean Source of Enquiries
Remove or reassign enquiry sources from contact cards.
- Click Remove to remove the source of enquiry
- In the pop-up, click Remove
Clean User Templates
Delete user management templates; irreversible once removed.
- Click Remove to remove a user template
- In the pop-up, click Remove
Distribution List Manager
Remove outdated contact/property distribution lists. System administrators will see all distribution lists created, while other users will only see their own lists.
- Click remove on the right of the distribution list
- In the pop-up, click OK
Export (Do Not Call Register)
Generate a list of phone numbers for compliance with the Do Not Call Register.
- (Optional) Click to include contact ID/Name
- Click Export
A CSV file is created and downloaded to your system.
Portal Property IDs
Export property listings and their portal IDs to assist with migration or matching.
- Click Export to CSV
This list can be exported to a CSV file to facilitate matching properties on a portal or website during the transition to MRI Vault.
Reassign Calendar Events
Bulk reassign calendar events from one user to another, useful during staff transitions.
Reassign Email Alerts
Bulk reassign email alert sender settings to another user, typically when staff leave.
Reassign Task List
Bulk reassign a user's to-do/task list to another staff member.
