About the MRI Vault-Zapier integration
Zapier lets you connect MRI Vault (the VaultRE app on Zapier) with thousands of other apps to automate work with triggers (events that start a workflow) and actions (steps Zaps perform). With VaultRE on Zapier, you can:
- Create Enquiry in Holding Area (action) - push lead data into MRI Vault
- New Property Listing (Sales) (trigger) - send data from MRI Vault when a property’s status changes to a listing
Before you begin
- Create a Zapier account and pick a suitable plan (paid trials are available for premium features/apps)
- In MRI Vault, you’ll need an API token generated via Office Integrations > Third‑Party Access. (Details below)
Notes:
- The MRI Vault team can’t consult on Zapier usage. Please use Zapier Support for questions about Zap-building
- Your Zapier subscription limits the number of monthly tasks/Zaps
- Zapier’s UI and templates change periodically; screenshots may differ over time
Set up: Generate your Vault API token
Use this once to connect VaultRE in Zapier.
- In MRI Vault, go to: Office Integrations > Third‑Party Access
- Select Add Token > Choose Zapier
- Click Create Token
- Copy the token
Keep this browser tab open as you’ll paste the token into Zapier during account connection.
Scenario A - Add enquiries to the Holding Area (example: Email by Zapier)
This example uses Email by Zapier to demonstrate inbound data → Holding Area. You can replace the trigger with Facebook Lead Ads, forms, sheets, etc.
A.1 Create the Zap trigger (Email by Zapier)
- In Zapier, click Create > Zaps

Trigger app - search Email by Zapier > Event: New Inbound Email
- Zapier gives you a unique @zapiermail.com address. Send a test email to it (Emails must be <10 MB)
- Click Test trigger to pull sample data into the Zap editor
A.2 Add the Vault action (Create Enquiry in Holding Area)
- Action app - Search VaultRE > Event: Create Enquiry in Holding Area
- Choose account: click Connect and paste:

API Token - Paste the token you generated in MRI Vault
- API Key - Follow the prompt shown in Zapier for the VaultRE app

Map fields from your trigger to Holding Area fields (e.g., First Name, Last Name, Email, Mobile, Subject, Enquiry/Notes)
- Click Test step to create a sample Holding Area enquiry in MRI Vault
- Click Publish Zap
Scenario B - Send alerts when a property becomes a new listing
This flow pushes listing data out of MRI Vault. The VaultRE Zapier app provides a New Property Listing (Sales) trigger.
B.1 Build the “listing” Zap
- In Zapier, click Create > Zaps
- Trigger app - VaultRE > Event: New Property Listing (Sales)
- Connect your Vault account (token + API key as per Scenario A)

Action app - Choose your destination, e.g., Email by Zapier (send an email), Slack, Google Chat, or Zapier Tables/Sheets
- Map the listing fields you want to include and Test the Zap
- Click Publish
B.2 Ensure MRI Vault is “telling” Zapier about new listings
If your office hasn’t already configured automation, set (or confirm) an office‑level Event Trigger in MRI Vault so that listing events are processed:
- In MRI Vault, go to: Settings (or My Settings) > Automation > Triggers
- Under the Office Triggers tab, click Add new Trigger
- Select Event‑based trigger for Property: Status changed to Listing (office scope)
- Mark it Live
- Click Save
- Test by converting an appraisal to a listing in MRI Vault and confirm your Zap receives the event
Troubleshooting & tips
- Nothing arrives from Email by Zapier - Re‑check size limits, senders, and test the trigger again; Email by Zapier relies on a third‑party inbound service and can be delayed
- Zap didn’t run immediately - If your Zap uses a polled trigger, runs occur at your plan’s polling interval (e.g., 15 min on Free)
- Holding Area review - Incoming leads appear under Contacts > Enquiry/Holding Area where you can deduplicate and add to your database
