About email alerts
Email alerts automatically send relevant properties to a contact based on their saved requirements. You can configure alerts per contact and manage sender reassignment in bulk when needed.
Configure an email alert for a contact
Set up the alert from the contact’s Requirements tab.
- Go to: A contact’s profile
- Click Requirements > Configure Email Alerts
- Set the alert details:
- To - Auto‑fills the contact’s email(s). If multiple emails exist, choose which address(es) receive alerts
- BCC - Optionally copy an office user on each alert sent
- Email Subject - Enter the subject line for the alert
- Sender - Choose the user who will appear as the email sender
- Template - Select the Designly template to use
- Requirement - If the contact has multiple requirements, tick only the ones you want included in this alert. (This determines which properties appear)
- Include - Choose one or more: New Listings, Price Reductions, Opens/Inspections, Recently Sold (Unconditional)

Timing - Choose Daily, Weekly (select the day), Fortnightly (select the days), or Monthly (select the day)
- Click Save
A bell icon appears next to the requirement. Hover over the bell to see the date added and the last sent date.
View sent alert logs
Confirm delivery and review a preview of sent alerts in the contact’s notes.
- Open the contact and click Notes
- Scroll to the Notes Log to view the alert entries (including previews)
Edit or remove an email alert
You can change alert settings or remove the alert at any time.
- Go to: A contact’s profile
- Click Requirements > Configure Email Alerts
- Update settings or remove the alert as needed
- Click Save
Bulk reassign the email alert sender
Update the sender for multiple existing alerts in one action.
- Go to: Housekeeping > Reassign Email Alerts
- Select the From user (current sender) and the To user (new sender)
- Click Reassign Now
- In the confirmation pop‑up, click Proceed to confirm
View reassignment results
Confirm what changed and when the task ran.
- Review the Last 50 Reassigns section
- Check the entry to see the total number of email alerts reassigned and the timestamp of the action
Tip: If you need finer control (e.g., excluding certain alerts), consider manual review and adjustment before bulk reassignment.
