Before you start
Before creating fund requests or processing payments, make sure the RealtyAssist integration is set up and configured in Vault.
Tip: If the integration isn’t connected, you won’t be able to create fund requests or manage payments.
Create a fund request
You can raise fund requests directly from a listing.
- Go to: A property profile
- Click the Financials tab > Advertising
- In the RealtyAssist section, click New Fund Request
- Enter mandatory details:
- Request Type
- Location
- Agent
- Due Date
- Amount (pre-populated from VPA but editable)
- GST

Trust Account
- Choose invoice type: Individual, Company, or Other Entity
- Select vendor and partner details, including email and phone
- Optionally:
- Add a description
- Attach files from the filing cabinet
- Enable or disable Pay Later (RealtyAssist Deferred Payment Method)
- Click Create Fund Request
Tip: You can create multiple fund requests per listing.
Manage fund requests
Once created, fund requests appear in a table with available actions:
- Click the menu button (three vertical dots)
- View Activity - Track updates
- Mark as Paid - Update status manually
- Resend Invoice - Send again to vendor
- Download Invoice - Save locally or to the filing cabinet
- Invoice Reminders - Enable or disable reminders
- Download Payment Confirmation - After payment

Apply Credit Note or Void Invoice - Adjust as needed
Process a vendor payment
Vendors receive an invoice email from RealtyAssist and can complete payment online.
- Open the email with the invoice sent by RealtyAssist
- Click Pay Now
- Select a payment method (e.g., credit card).
- Enter payment details and confirm the payment
Verify payment status in MRI Vault
Once the vendor pays, MRI Vault updates automatically if webhooks are enabled.
- Return to MRI Vault and open the fund request table
- Wait a few moments for the status to update
- Confirm:
- Status: Paid
- Payment Type: Upfront

Tip: Webhooks ensure real-time synchronisation between RealtyAssist and MRI Vault.
Check ledger and trust account updates
If automatic ledger updates are enabled:
- The advertising ledger reflects the vendor payment
- The trust account updates with the vendor advertising amount
