We provide the option to add a scheduled property viewing from within your calendar. These scheduled viewings can then be managed directly within Vault and the Vault app.

Step by step
Adding a Scheduled viewing via your calendar
1. Click on Calendar
2. This will populate your calendar, where you are able to add a scheduled viewing by clicking into the desired date
3. This will then open the Add Event screen, where you are able to select and add the below details:
- Calendar: - If you have Global Calendar access or Settings (Module Access) ticked in your User Management, here you are able to select to add a calendar event in any user's calendar. Otherwise, this will default to Myself
- Type: - This will default to Event, where you will need to select Scheduled Viewing to update the required details
- Duration: - Here you can apply the date and time of the scheduled viewing
- Property: - Here you are able to search your database for the property the scheduled viewing is in relation to
- View/Read Access & Edit Access: - Set the Access settings for both View/Read and Edit for the scheduled viewing
- Edit Access: - This can be ticked for Everyone, otherwise, you can select individual staff members or teams to have access to edit the scheduled viewing
4. Once you have completed the scheduled viewing details, you are then able to link an existing or new contact as the attendee for the scheduled viewing within the Attendee tab
If a duplicate exists, you are able to click on View Duplicates Found to view and Use the existing contact to link to the scheduled viewing. Otherwise, the system will automatically create a contact record in your database, should the contact not already exist.
5. Once the attendee has been linked to the scheduled viewing, you have the option to send an email or SMS template to the contact linked or undo (If the contact is incorrectly linked)
6. When you have added all the required scheduled viewing details and linked the attendee, you are then able to click Add Schedule Viewing

Additional information
Once you have added in the property address for the scheduled viewing, we also provide the option to view the owner(s) details from within the Owner tab, including the option to send an email template to the owner(s).
When managing the scheduled viewing, we provide the additional options to toggle if the scheduled viewing is to be accompanied and toggle to confirm the scheduled viewing with the owner/attendee.
You are able to view and add scheduled viewings directly within the VaultRE app. More information on this process can be found via the IOS App - Open Home / Private Inspection Check-in Process knowledge article.
All scheduled viewings (Past & Future) will populate within the Owner Feedback report (Property Card > Owner Feedback tab > Owner Feedback). Here you are able to view the date, time, attendee name, status and event details.
These will also populate from within the client login, where the vendor is able to directly confirm their attendance for a scheduled viewing. More information on the client login setup can be found via the Owner Feedback - Client Login knowledge article.
