The Housekeeping area, as the name implies, is the area where you can go to clean up data within your Vault account. This menu can be found by going to the housekeeping menu as shown below:
In order to access the Housekeeping menu, you will need to have it ticked within our user management. More information can be found in the User Management Settings knowledge article.
Housekeeping Menu Overview
Backup/Export Data - Allows you to select various data from within Vault to export.
Once the file has been exported an email will be sent to the exporting user with a ZIP file. This can be downloaded and will contain all the exported data in “.csv” files.
The 10 Most recent backups/exports will also be recorded as per the below example:
Clean Advertising Suppliers - Allows you to remove any creditors/suppliers you have set up through the Financial > Setup/Configuration > Advertising Expenses. More information on creating advertising suppliers/expenses can be found in the Advertising - Setup/Configuration for Invoices and Expenses knowledge article.
Here you are able to rename the supplier or remove/reassign on the right-hand side of an existing supplier.
Note: Removing/reassigning a supplier cannot be reversed.
Clean Building Names - Allows you to remove any building names previously entered via the property card.
Here you are able to remove an existing building on the right-hand side.
Note: Removing a building cannot be reversed.
Clean Email Communications - Allows you to delete any templates you may have set up in the Email Builder area.
Franchise offices that have corporates that have created templates at a Head Office level, these may not be able to be deleted.
Click on the red REMOVE button on the right, a pop-up will appear to ask you to confirm that you no longer want the communication click on the REMOVE button and the communication will be removed.
Clean Mobile Data - Allows you to clean your mobile numbers to the optimal format. If you have imported a CSV file, your mobile numbers may have lost the zero (0) in front of the number. If this is the case, this script will reinstate the 0.
Click on Test Clean, which will provide you with the contact, mobile (Before) and mobile (after the cleanup) prior to processing.
10,000 contacts are processed in any single batch - If you have more than 10,000 mobile numbers to correct, you can run the clean multiple times.
Clean Offer Conditions - Allows you to remove any existing offer conditions added within the property card > Financials tab > Offer Conditions tab. More information on this function can be found in the Financials - Offer Conditions knowledge article.
Here you are able to remove an existing offer condition on the right-hand side, including the ability to add further offer conditions via the Add Offer Condition button in the bottom right-hand corner.
Note: Removing an offer condition cannot be reversed and will provide you with the option to reassign all existing offer conditions to another condition.
Clean Property Tags - Allows you to remove or rename existing property tags applied to properties. More information on applying property tags can be found in the Property - Listing: Photos & Tags knowledge article.
Here you are able to edit the name of an existing tag via the pencil or remove an existing property tag on the right-hand side.
Note: Removing a tag cannot be reversed and will provide you with the option to reassign to another property tag.
Clean Source of Enquiries - Allows you to remove existing source of enquiry options as found on the contact card. More information on creating sources of enquiry can be found in the Setup Source of Enquiry knowledge article.
Here you are able to remove an existing offer condition on the right-hand side.
Note: Removing a source of enquiry cannot be reversed and will provide you with the option to reassign to another source of enquiry.
Clean User Templates - Allows you to remove any existing user management templates. More information on this function and how user management templates are created can be found in the User Management Settings knowledge article. Here you are able to remove an existing user template on the right-hand side.
Note: Removing a user template cannot be reversed.
Distribution List Manager - Allows you to remove old contact and property distribution list. If you wish to remove a distribution list, click on the [remove] to the right of the distribution list you wish to remove.
System Administrators will see all distribution lists created, whereas other users will only see the ones that they have created.
Note: Removing a user template cannot be reversed.
Export (Do Not Call Register) - Can be used to create a list of your phone numbers in your database for washing on the Do Not Call Register.
Portal Property IDs - Can be used to provide all your listings and the corresponding listing numbers.
This list can be exported to a CSV file to enable matching properties on a portal/website when moving across to Vault.
Reassign Email Alerts - Allows you to bulk reassign the selected sender set up on an email alert. This is especially useful when a staff member leaves and requires their email alerts to be sent via another user. Reassign Task List (To-do/Task List) - Allows you to bulk reassign a user's to-do/task list.
