Use this facility to create standard email responses/templates. Examples may include:
- "Thank you for your enquiry on our website"
- "New Client Introduction Email"
- "Lease Renewals"
- "Upcoming Periodic Inspection"
These email responses can then be selected when sending an email via the desktop and mobile app versions of VaultRE.
Unless you are a user with "Full Access" you will only be able to edit templates that you have created yourself.

Setup Enhanced (Property) Email Templates
Step by step
1. Go into Settings (Admin Users) or My Settings > eMarketing > Email Responses
2. Select the desired template type tab - This can be either a Standard Template or an Enhanced (Property) Template
3. Click on Create Email Response
4. Add the template details - This includes the template name, email subject, visibility settings, and content
5. Click on Save Response to add the email template to your database and it will now be available to choose from when sending an email via the desktop and mobile app versions of VaultRE
Additional information
If you wish to include documents via the Electronic Table link, eMarketing Storage, or Filing Cabinet, this option is provided once you have ticked the (tick) to include attachments/links tick box. This will add the selected document as a link directly to your email.
We provide the option to set the access settings for the email template you are creating - These visibility settings include everyone in the office, a team/s or individual/s. When drafting your email you can change the font type, size, colour etc, and also insert merge fields, and add images and hyperlinks.
Should you like to insert an image into your template, you will need to ensure that the image is cloud-hosted (Hyperlink). You can create hyperlinks for your images from within your VaultRE account by going into eMarketing > eMarketing Storage - Here you are able to click on Add/Upload File in the bottom right-hand corner > Once added, this will then generate a hyperlink for the image as shown below:
You are then able to add this image into the template by copying the hyperlink as shown above and pasting the link into the Source section of the Insert/edit image button in the email template.
Your existing email templates will be shown within the relevant template tab (Standard Templates or Enhanced (Property) Templates). These templates can also be edited at any point by clicking on the Edit button.
Where can these email templates be selected?
Enhanced (Property) Templates
- Emailing from a contact card
- Mobile App
- Emails to contacts if assigning property context
- Automated email responses for property check-ins
- Canned responses
- Property-based triggers (Providing there is property context-based)
- Action lists (Provided the property is linked to a contact (owner/purchaser), otherwise fields will not merge)
Standard templates (Appear in all places enhanced do plus)
- Bulk email communicator, including creating contact distribution lists from owner feedback reports
- Contact-based date triggers
You may find base templates via the access shared content tool in your settings menu. This is only accessible for users with admin settings access. These templates are also defined by if you belong to a franchise group.
