Step by step
How to view and add calendar events
1. Click on Calendar
2. This will populate your calendar and any existing events, appraisals and property scheduled viewings
3. To add a new calendar event, this can be done by clicking into the desired date
4. This will then open the Add Event screen, where you are able to select and add the below details:
- Calendar: - If you have Global Calendar access or Settings (Module Access) ticked in your User Management, here you are able to select to add a calendar event in any user's calendar. Otherwise, this will default to Myself
- Type: - This will default to Event, however you have the option to add an Appraisal or Scheduled Viewing
- Summary: - This is a summary of the event e.g. Sales Meeting
- Description: - Add the description of the event
- Contact: - Here you are able to search your database for contact(s) to attach against the event
- Property: - Here you are able to search your database for a property to attach against the event
- Duration: - Here you can apply the date and time of the event
- Tick/untick All day and/or Repeat (Daily, Weekly, Fortnightly, Monthly or Yearly) if required

5. Once you have added all the required event details, you are then able to click Add Event to populate the event in the selected user's calendar

What options are available once a calendar event has been added?
Once the calendar event has been added, you can view the event in further detail by clicking into the Calendar event as shown below:
You then have the below options for the event:
- Click for Edit mode - Here you can toggle to make changes to the event added
- Click if Cancelled - Here you can toggle to mark the event as cancelled, including being able to provide a reason or tick to send an email or SMS template to contact(s) attached to the event
- Click if Confirmed - Here you can toggle to mark the event as confirmed, including being able to tick to send an email or SMS template to contact(s) attached to the event
We provide the option to untoggle both the cancelled or confirmed toggles, in order to reinstate or unconfirm the event.
If you have attached contact(s) or a property when the event had been added, we provide a snapshot of the contact and property details from within the event as per below:
We also provide the option to Open the contact or property card, add Notes, See the Activity, send an email or SMS template to the contact(s) attached or view the weather forecast for the suburb the property resides in.
Where else are you able to view added event details?
Besides the calendar itself, you also have the option to view event details from the below areas:
1. If a contact is attached to an event, you are able to view the event details directly within the contact card > Events Tab
Here you are also able to Add Notes, View Event in further detail and Go To Property if a property has been attached to the event.
2. If a contact is attached to an event, we also provide the option to view the event from within the contact card, under the contact snapshot as per below:

4. Calendar Report - The Calendar Report can be used to view specific or all calendar events added over a date range. More information on this report can be found via the below knowledge article link:
5. VaultRE App - We provide the option to both view and add calendar events directly via the VaultRE app. More information on the VaultRE app can be found via the below knowledge article section:
6. My Calendar Event (Today) Widget - If added to your dashboard, here you are able to view all calendar events for the day, including the time, status, summary and description. More information on configuring your dashboard can be found via the below knowledge article link:
Additional calendar functions
You have the option to print the day's calendar events for yourself or the office (Depending on user management settings) via the top right-hand corner of your calendar.
Using the menu button in the top left-hand corner, we provide the below range of options to apply to your calender:
- My Calendars - This function will allow you to provision multiple calendars for yourself
- Other Calendars - Here you are able to add/toggle other user's calendar events to appear (Note: You will need to have Global Calendar access or Settings (Module Access) ticked in your User Management)
- Status - Here you can filter your calendar via the status of an event (Confirmed, Unconfirmed, Deleted or Cancelled)
- Types - Here you can filter your calendar via the types of calendar events (Appraisals, Events, Scheduled Viewings or custom created event types)
- Hours - Set the hours on which you would like calendar events to appear in your calendar
- Days - Set the days on which you would like calendar events to appear in your calendar
How to add custom event types?
This can be done by a system admin user and will apply to the whole office via the below steps:
1. Go to Settings > Setup Event Types
2. Click Add New Event Type - Here you are able to add the name of the custom event type and select the icon
3. Once you have added the above details, click on Save - You will then be able to select the custom created event type when adding a new event in the calendar
You have the option to edit the event icon or delete an existing custom event from within the Setup Event Types screen as shown below.
