Step by step
1. Go into Properties > Appraisal Wizard
2. Enter the prospective owner details - As you enter the owner details, the system will automatically check for duplicate contacts. You can then check and choose to attach an existing contact to the property, as opposed to adding a new contact
3. If the contact does not exist in your database, continue to add the owner's details, such as their name, email, and phone
4. If you have set up the integration for NPD (National Property Data), Corelogic, or Pricefinder, the property search will allow you to pull property data directly into the property card. This data includes the property class, address, particulars, and other relevant information.
5. Otherwise, you can continue to manually add the property details such as the type (Sale or Lease, both Not Currently Listed or an Appraisal), address, and appraisal details - Here you can add the user carrying out the appraisal, including the time and date. This will then add the appraisal appointment directly into the user's calendar
7. We then provide the option to add an email or SMS follow-up reminder. If ticked, you can select the sender and email or SMS template
If an SMS follow-up/Reminder is sent, this will incur a charge per SMS part (each part is 153 characters of text if the total message length is over 160 characters).
8. Set the Access settings for both View/Read and Edit Access - This can be ticked for Everyone should you have an open database, otherwise, you can select individual staff members for a closed database
9. Click Add Property to add the appraisal/prospect property to your database
Please note: As you enter property details, the system will automatically check for duplicates. You can review these potential matches and update the existing property card instead of creating a new one.

How to withdraw an appraisal
Should the property be added as an Appraisal status and the owner did not proceed with listing their property, you will need to ensure that you withdraw the property for reporting purposes.
This can be done by following the below steps:
1. Navigate into the appraised property
2. Click on Withdrawn
3. Select whether the appraisal was Lost to other agent or Owner not proceeding, including any further comments
4. Once completed, you can click on Yes/Continue to revert the property to "Not Currently Listed" status
Once withdrawn, you are still able to convert the property back to an appraisal or a listing in the future. You also have the option to see the history of the past appraisal from within the Other tab > History.
CoreLogic, National Property Data & Pricefinder Property Search
If you have set up the integration for Corelogic, National Property Data, or Pricefinder, the property search will allow you to pull property data directly into the property card. This data includes the property type, address, particulars, and other relevant information. More information on these integrations can be found via Integrations.
This integration can be set up for individual users under My Integrations > Corelogic, National Property Data or PriceFinder.
Depending which Class you select will determine what information/fields will populate for you to complete. This will vary to cater to the class of property you have selected and ensure you have the relevant fields available.
It is also important that you select the correct class, whether that be Residential, Commerical, Business, Rural, Holiday Rental, Land, Livestock, or Clearing Sales to avoid issues changing the classification.
If adding the appraisal details against the property, this will automatically populate a calendar event based on the user selected. On the right-hand side, it will also show all upcoming calendar events for the next seven days or events on the appointment date selected for the user.
Please note: If your Vault account is integrated with Office365 or Google/Gsuite, you will also be able to see your calendar events on the selected date. These integrations can be set up for individual users under My Integrations > Office 365 or Google/Gsuite
