Adding a property is a fundamental function within Vault. In the below video, we will show you how to add a property to your database as a Prospect/Not currently listed.
Contents:
Step by step
1. Go into Properties > Add Property
2. Select the property Type - Residential, Commerical, Business, Rural, Holiday Rental or Land
3. Set the property status type - For Sale or Lease
4. Select the status - Here you can add the property as a Prospect/Not Currently Listed, otherwise we also provide the option to add the property as an Appraisal or Listing.
5. Add in the property details, including:
- Property Address
- Particulars
- Legal Details (If you have any of this information)
- The Contact/Enquiry Staff Member(s) - You can have up to two staff members
- Who has access to this Property? - The user/s who have the ability to view/read the property and who has access to edit the property
6. Click on Save/Update to add the property to your database
7. Once added, click on the Owners tab on the property card to add a new contact or an existing contact as the owner of the property
As you enter the property details, the system will automatically check for duplicate properties. You can then check these potential duplicates and open the existing property card to add further details against, instead of creating a duplicate
Additional information
Depending on which Types you select will determine what information/fields will populate for you to complete. This will vary to cater to the type of property you have selected and ensure you have the relevant fields available.
It is also important that you select the correct type, whether that be Residential, Commerical, Business, Rural, Holiday Rental, or Land, as this cannot be changed once the property has been added to your database.
When adding an Owner against the property, you have the option to attach as many owners as you desire. Further owners can be attached by clicking on the Options button in the owner tab > Attach Another Owner - You then have the option to attach an existing contact in your database or create a new contact to attach against the property.
Once attached, you then have the option to switch between owner contact cards, by using the drop-down in the top-right hand corner. Should an owner be incorrectly attached to the property, you can use the same Options button > click on Unlink from Property.
CoreLogic, National Property Data & Pricefinder Search
If you have set up the integration for NPD (National Property Data), Corelogic or Pricefinder, the property search will allow you to pull property data directly into the property card. This data includes the property type, address, particulars, and other relevant information.
This integration can be set up for individual users under My Integrations > Corelogic, National Property Data or PriceFinder. More information on these integrations can be found via Integrations.
