One of the most important functions is to keep your database clean, hence why the system will always check for potential duplicates when a contact is added to your database. However, should your database contain existing duplicate contacts, we provide the option to manually check and merge these contacts as per below.
Contents:
Step by step
Duplicate Check Tool (Entire Database)
1. Go to Contacts > Duplicate Check
2. The system will then initiate the duplicate check
3. You must then REFRESH your browser for the potential duplicates to appear
4. Once refreshed, the system will display the results and advise if the contacts have been matched on Name, Email and/or Phone
The system will display a maximum of 1000 records at once and advise the total number of duplicates across your database.
5. To begin cleaning up these potential duplicates, click Resolve on the right-hand side
6. This will then populate a new screen where you can review the potential duplicates, including the option to view the contact or attached notes
7. Once you have reviewed all contacts, you are then able to choose to Merge, Ignore or Delete the contact(s)
8. If you have chosen to merge two or more contacts, you will have the option to select the desired details you would like to remain on the merged contact
Contact details such as the contact number and email address are not available in the above section, as the merge will automatically populate all contact numbers and email addresses on the contact.
9. Once you have selected your desired options, you may then click Merge Now
Duplicate Check (Single Contact)
Besides the duplicate check tool, we also provide the option to check for duplicates/merge on an individual contact card as per the below steps. This is handy for a progressive database clean-up as opposed to the bulk option above.
1. Navigate to a contact card
2. Click on Options > Duplicate Check
2. The system will then check and populate any potential duplicates matching the individual contact
3. To begin cleaning up these potential duplicates, click Resolve on the right-hand side
4. This will then populate a new screen where you are able to review and merge, ignore or delete the potential duplicates following the same process as shown above
Additional information
You can view and open all merged contacts (Within the last 30 days) via the Recently Merged tab.
If you have chosen to ignore a duplicate (Within the last 60 days), these will populate in the View Ignore List tab, where you can open or unignore.
Contacts ignored will be placed on the ignore list for a sliding period of 60 days. This can be modified to ignore duplicates indefinitely by going to Settings > Update Account Details > Tick the below.
