User security roles are an easy way to manage the level of access and permissions a user has within a Vault. They help manage what actions users can perform, what data they can view, and what features they can access. By assigning specific roles, administrators can ensure that users have the appropriate permissions based on their responsibilities.
Setting up a new role
You will need to ensure that you have user management access to set up roles.
1. Click Settings > User Security Roles
2. Once here click Add New Role
3. A popup window will appear, prompting you to enter the name for the new role. Please ensure the role name is unique to avoid duplication
4. Apply your desired role access settings - More information on these settings can be found in the User Management Settings knowledge article
4. Click Save once the desired settings have been applied to create the new role
Editing or removing an existing role
1. Click Settings > User Security Roles
2. Once here click Edit next to your desired role
3. A popup window will appear with the security role settings
4. We are then able to make changes to the role settings or click Remove to delete
If removing a security role, any staff members currently assigned to this role will be unassigned.
Assigning a role to a user
1. Navigate to Settings > User Management
2. Select your desired user > Click the User Security Roles tab
3. Tick the desired user roles you would like to assign
4. After selecting the role, click Save/Update to apply
Once the role has been applied to the user, the system will only update their existing user settings from unticked to ticked based on the role settings. It will not update settings from ticked to unticked.
Additional information
When you make changes to security settings (such as enabling access), the following should be kept in mind:
- The system will only additive changes to users with this role
- No settings will be removed during these updates, meaning any configurations that were previously enabled will remain active unless manually deactivated
