Vault's Zapier integration can currently feed enquiries into the holding area and push new listing alerts from Vault into Zapier.
Zapier supports:
- Actions (data incoming into Vault; such as “Create Enquiry in Holding Area”)
- Triggers (outgoing transactions from Vault; such as “New Listing” notification)
As Zapier is a Workflow automation software with over 7000+ app integrations the options for usage within Vault are endless. In our example below we will look at pulling Facebook Lead ad enquiries into the Vault Holding area.
1. The Vault team cannot consult on Zapier usage. Please utilise Zapier support for additional queries
2. The limit of "zaps" or monthly tasks is based on your Zapier subscription

4. To start Head to Zapier.com, create your account and select a suitable subscription

Step by step - Holding Area
- Within Zapier Click on “Create Zap”
- Select your Trigger/where your data is coming from. i.e. Facebook lead ads that you would like to feed into your holding area
Data could also come from a website plugin that connects to Zapier. Speak to your web developer about this option if they are unable to utilise Vault's API option (fastest & best results)

In this example, we’ll use a simple scenario by setting up an email address (and if emailed, it will send details into the Vault's holding area)
Choose “Email by Zapier"
Your source could be email, Facebook Ads or any other data integration with Zapier - Then 'New Inbound Email'
- Zapier will then provide an email address
- Send an email to the above email to test in the next step
- The test should then be received and shown as per below:
- Next, we need to instruct Zapier what to do when an email is received (or a Facebook lead is received etc)
- For your Action Step search for Vault, choosing the event as Create Enquiry Holding Area
- Next, you'll need to "choose account" where we link your Vault account to this automation.
To do so;- Open your Vault account in a new window/tab
- Head to Office Integrations
- Third-party access
- Click Add token then select Zapier & create token
- You'll then need to copy the Token
- Navigate back in Zapier paste your copied token into the API Token Field
And then paste the below Vault API Key into the API Key field
If these are not applied correctly the integration will not work.
Then hit "Yes to Continue to VaultRE" - Our Next step is to Set up action (Mapping where your enquiry from any source will land in the holding area)
- Here you'll need to map the data from your source (Email, Facebook lead ad, website, spreadsheet etc) to the available holding area fields.
E.G. - Once complete click Publish Zap
- You can now test by adding data to your source i.e. Sending an email/Facebook Ad/website enquiry, updating your spreadsheet etc
A holding area enquiry will then be generated.
Step by step - Push New Listing from Vault to Zapier
In this configuration, we'll push a new listing from Vault to a third-party tool via Zapier.
In our Example below we'll send a simple email
- Within Zapier tap + Create and Select Zaps
- In the Trigger Section search for and select VaultRE
- Choose the Event New Property Listing (Sales)
- You'll now need to open Vault in a new tab to configure your integration using the steps below:
(Only applicable if you haven't already set the above holding area integration) - Open your Vault account in a new window/tab
- Go to Office Integrations > Third-party access
- Click Add Token > Select Zapier > Create Token
- You'll then need to copy the Token
- Navigate back in Zapier and paste your copied token into the API Token Field
And then paste the below Vault API Key into the API Key field
If these are not applied correctly the integration will not work.Then hit "Yes to Continue to VaultRE"
- Optionally you can test this now by converting an appraisal to a listing (in Vault) and tapping Test/Find new Records
- Select the “Action” (What happens when a new listing is added to Vault)
The “Action” could be to “Slack”, “Google Chat”, etc
In this example, we’ll send an email…. - Select the Event as Send Outbound Email (Or select an action for your chosen output)
Hit Continue -
Now configure the email we wish to receive using the Vault data, For example:

Click continue and (optionally) Test Step

Click “Publish”
At this stage, Zapier is “listening” for New Listings from Vault; however, we need to instruct Vault to advise Zapier - This is performed via Event Triggers.
- Open Vault and navigate to Settings > Automation > Triggers
- Add an event trigger for the office using the configuration below making sure to make live and save
- You can now test your zap x trigger combination by converting an appraisal to a listing in Vault
